Length of stay & extensions in Hamburg residences

Your standard length of stay is governed by Studierendenwerk’s admission and extension policy and your agreement. Check the specific end date in your agreement early, especially if you want to apply for an extension.

No automatic extension

A fixed-term tenancy does not extend simply because your studies or training continue. You need recognised grounds for an extension, a written application submitted by the deadline and the required evidence. The designated procedure makes the decision.

Under the admission and extension policy in force since 22 September 2025:

  • The standard length of stay is 48 months.
  • It is 60 months in houses with persistently lower demand.
  • If demand is temporarily low, the Central Admissions Committee may extend the period for individual houses for a limited time.
  • A shorter period may be agreed in special cases.

Your accommodation offer and tenancy agreement state which period applies to you. The current standard agreement specifies a maximum tenancy of four years unless another term is agreed in writing. Time spent in student accommodation run by other providers in Hamburg may be counted under the current conditions.

The policy names the following grounds:

  • a documented final phase of a degree or vocational training programme where completion is expected during the extension period,
  • regular participation in a residence’s student self-government or in other areas or committees of Studierendenwerk,
  • other serious reasons, such as studying or training with a child, a disability or chronic illness,
  • exceptional hardship that moving out would cause.

Where several recognised grounds apply, the policy permits extension periods to be added together. Participation is therefore expressly a possible ground, but not an automatic approval. Student self-government explains how you can take part.

The policy does not provide one exhaustive list of documents for every case. The evidence should therefore demonstrate the grounds claimed and the period needed. Examples for preparation are:

These examples do not guarantee approval and do not replace the current form or a request for further documents. If anything is unclear, ask the service named in the procedure early rather than sending sensitive documents to a general email address as a precaution.

No set form for confirming participation

In practice, the residence spokesperson confirms regular participation informally. It is useful to state the person’s name, role, period, a brief description of the regular activity, the date and the name of the person providing confirmation. If the chair needs confirmation for their own participation, they can request an appropriate letter from the head of the responsible Studierendenwerk housing department.

The written application must reach Studierendenwerk no later than three months before the end of the permitted stay. The policy expressly defines this as an exclusion deadline. Submit the application and complete evidence before then using the current official route.

  1. The Accommodation Department assesses applications under the policy and general decisions.
  2. The Residence Admissions Committee (Hausaufnahmeausschuss, HAA) for the relevant residence makes a recommendation on extensions.
  3. If HAA and Studierendenwerk agree, the decision is communicated.
  4. If their assessments differ, the Central Admissions Committee (Zentraler Aufnahmeausschuss, ZA) decides.
